Summary

Berryessa Union School District is seeking a dedicated Administrative Assistant for Education Services to perform complex secretarial duties, maintaining confidentiality and supporting the Assistant Superintendent in a dynamic educational environment.

Responsibilities

  • Performs complex and responsible secretarial duties requiring independent judgment and analysis
  • Plans, organizes and coordinates activities relevant to the functions of the Division
  • Maintains confidentiality of privileged and sensitive information
  • Processes and relays messages and communications as appropriate
  • Greets visitors, including administrators, staff, parents and the public
  • Composes correspondence or prepares final correspondence product from rough drafts
  • Receives, sorts, and distributes mail
  • Coordinates, schedules, and attends a variety of meetings
  • Maintains appointment calendars
  • Prepares charts, presentations, and statistical information as needed
  • Attends meetings, and takes and transcribes minutes
  • Collects and compiles information pertaining to specified administrative and instructional activities
  • Researches and compiles a variety of information
  • Computes statistical information for various Federal, State and District reports
  • Inventories, orders, receives and distributes office supplies and materials
  • Maintains department budgets and ensures accuracy of accounts and expenditures
  • Collects and accounts for fees; initiates purchase requisitions and budget transfers
  • Prepares and maintains attendance reports and submits time sheets
  • Fields questions and concerns from parents and the community
  • Provides direct support to Assistant Superintendent of Education Services
  • Acts as a liaison on behalf of Assistant Superintendent and Superintendent's Office
  • Operates a variety of office equipment and uses assigned software
  • Maintains/updates data of various certification compliance information
  • Provides assistance and general support to staff members to ensure efficient workflow

Qualifications

  • Completion of the twelfth grade; BA degree preferred
  • Five years of increasingly responsible secretarial and clerical experience
  • School district office experience and bilingual skills preferred
  • Must have advanced knowledge of functions and operations related to office administration
  • Ability to work confidentially, exercising discretion
  • Possess interpersonal skills, tact, patience, and courtesy
  • Knowledge of telephone techniques and etiquette
  • Financial and statistical record-keeping as well as report preparation techniques
  • Correct usage of the English language, grammar, spelling, punctuation and vocabulary
  • Efficient oral and written communication skills
  • Ability to operate computers and a variety of software
  • Budgeting practices regarding monitoring and control
  • Methods of collecting and organizing data and information
  • Business letter and report writing techniques
  • Ability to understand and resolve issues, complaints and problems
  • Must possess a valid California Driver’s License
  • Valid Tuberculosis Clearance
